Set up Hall for Rehearsal Dinner;

Includes, Navy Tablecloths, Tomorrow We Do Banner, Decor – Crates, wine bottles/roses, Photos on tables, Tub (Water/Soda), Coffee urn, Candy trays, Tomorrow we do Favors w/candy and Key, Dishes/Napkins/utensils, Pallet w/photos, Music USB, etc. Some photos below.

WEDNESDAY, May 19th, 2021

Tent Arrival – Noon. Noon -3pm set up. (Sue, Dave, Carol, Joanie, Rob, Ryan, Carol)

Things Done; Electrical needs sorted out. Set up of all tables, chairs, bar, trash cans, tablecloths, runners. Things in place; 2 picnic tables, barricades, stuff organized in Hall and ready to go out….some photos below

THURSDAY, May 20th, 2021

Finish set up if not all done on Wednesday.
Flower delivery to Legion (unsure of time)
Shannon to arrive somewhere around noon.
Shannon to decide if she wants anything changed with the set up outside. Make changes/adjust as needed.

FRIDAY, May 21, 2021

8am – 12noon: Complete Set Up

• Centerpieces, napkins, favors
• Cake/cupcake stands, crates, Heaven, Guestbook, Seating, etc
• Kegs,  taps
• Cups and essentials by bar (stirrers, napkins, cups, etc) – Robin to fill the bar with liquor Saturday – leave liquor in Hall overnight
• If no rain in forecast, set up chairs for ceremony in picnic grove
• Soda/Water in coolers

3pm – Pick Up Food (for Saturday) and go to Hotel. Put food in Shannies room, get showered and ready for Rehearsal Dinner. Arrive back at Legion at 5:15pm

Phil to provide tent security 10pm – 7am and take care of following;

• Ice down Keg Tubs and coolers before leaving in morning
• Place barricades and parking signs before leaving in morning

SATURDAY, May 22, 2021

Karen to be OVERSEE Set Up / Finishing touches while Shannon/Girls and I are at hotel getting ready. Karen will have checklist, etc.)
4 helpers for Karen (Joanie, Dave, Phil, Carol)

Helpers at Legion in morning after Phil leaves; Joanie, Dave, Carol and Karen.

• Fill Coolers by food with Water and Sodas – put extras next to coolers (10 cases water, approx. 15 12 pks soda)
• Fill coolers by bar with mixers – OJ, Cranberrry, Soda (Stuff that Joe brings)
• Put liquor at table at bar area (Robin will organize when she comes on)
• Put arch out in picnic grove or under tent (depends on weather)
• Bring cake/cupcakes out and arrange on table/cupcake stands

Need list for Karen to be sure everything done, etc (give her map so she knows where vendors go)

• DJ arrival time
• Mission BBQ time (they bring own tables – One 6ft table for Cocktail Hour, two 6ft tables and one 4ft table for dinner buffet. Heather will touch base with Shannon in next week or so to go over last minute counts, etc)
• Bartender – Robin – will ask her what time she will be there to finish her set up
